Computerized Accounting System

This chapter shows you how accounting moves from paper ledgers to software — and why the principles you already know stay exactly the same while everything around them gets faster, safer, and exam-ready for a GST-driven business world.

Every business you will ever work for — whether you become a CA, join a company's finance team, or run your own venture — will use accounting software, so understanding how it works (and where it can fail) is one of the most practically valuable things you will learn in Plus Two.

Lots of students think…

"If the computerised accounting software shows a balanced trial balance, all the entries must be correct."

Actually…

A balanced trial balance only proves that debits equal credits — it cannot detect wrong amounts. If you type ₹80,000 instead of ₹8,000, the software records an equal debit and credit for the wrong amount, so the trial balance still balances while Purchases is overstated by ₹72,000.

By the end of this chapter you will understand how accounting software works, why the same rules you learned still apply inside every app, and why a good accountant is more important than ever in a world run by Tally and GST.

What is a Computerised Accounting System?

A Computerised Accounting System (CAS) is software that records your business transactions and updates all the related accounts automatically. Instead of writing the same transaction in three different books, you type it once and the software does the rest.

Real-life example

A cloth merchant in Thrissur sells fabric worth ₹12,000 (plus 18% GST) to a customer. In the old way she would write this in the sales day book, the debtor's ledger, and the GST register — three separate entries. With Tally she raises one invoice, and Tally instantly updates Sales ₹12,000, Output GST ₹2,160, and the customer's ledger — all in one click.

Double-Entry Still Rules

Switching to software does NOT change accounting rules. Every entry still has a debit and a credit of equal amount — the software just applies those rules at machine speed. Assets still go up on the debit side; liabilities still go up on the credit side.

Real-life example

When Tally records a payment of ₹5,000 rent, it automatically debits Rent Account ₹5,000 and credits Bank Account ₹5,000 — exactly the same entry you would write by hand. The rule is the same; only the speed changes.

Five Things the Software Does

A computerised system handles five jobs that would take days by hand: (1) records transactions automatically, (2) keeps every ledger up to date in real time, (3) generates reports like Trial Balance and Balance Sheet in seconds, (4) keeps a security log of who entered what and when, and (5) links accounts to inventory and banking so a sale automatically reduces your stock count.

Real-life example

A mobile accessories shop in Kochi records a sale of 10 phone cases at ₹200 each. The software does all five jobs at once: it posts the sale entry, updates the Cash/Debtor ledger, is ready to show a trial balance the same second, logs the staff member who made the entry, and reduces stock by 10 units.

GIGO — Garbage In, Garbage Out

Software faithfully processes whatever you type. If you type the wrong number, it produces the wrong answer — and the trial balance will still balance perfectly because the wrong debit and wrong credit are still equal. There is no alarm. The mistake hides in clean-looking books.

Real-life example

A shop assistant accidentally types a purchase invoice as ₹60,000 instead of ₹6,000. Tally debits Purchases ₹60,000 and credits Creditors ₹60,000 — the trial balance balances — but net profit is understated by ₹54,000. Only a careful accountant checking the paper invoice against the software entry will catch it.

GST Made Computerised Accounting Essential

Since July 2017, every GST-registered business in India must file monthly returns listing each invoice. Even a small business with 100 invoices a month cannot realistically do this by hand without errors. Accounting software auto-calculates the tax, matches supplier invoices, and produces a GSTN-ready report in minutes.

Real-life example

Anitha's stationery wholesale business in Thrissur used to spend 15 hours per month compiling invoices and filing GST manually. The Accountant's Role Changes, Not Disappears

A finance executive at a manufacturing company in Pune spends less time posting journal entries now that they use SAP. Instead she spends her time reconciling the bank statement against ledger balances, reviewing the audit trail for unusual late-night entries, and verifying that supplier invoices in the system match the actual physical bills — work that software cannot do on its own.

The full picture

Think about the small textile shop near your house. Every day it sells fabric, buys stock, pays rent, and receives cash or UPI transfers. In the old days, the owner wrote each transaction by hand in a cash book, a purchases ledger, and a sales ledger. At month-end, tallying everything took two or three days — and one arithmetic slip could send the whole trial balance wrong. A computerised accounting system (CAS) replaces those handwritten books with software. You type in a transaction once — say, 'Sold goods worth ₹12,000 to Ravi Stores, GST 18%' — and the software instantly updates the sales account, the GST payable account, and Ravi Stores' debtor account all at the same time.

The key insight you must hold on to: the rules do NOT change. Whether you write in a ledger or click a button in Tally, the same double-entry principle applies — every transaction has a debit and a credit of equal amount. The software does not invent new accounting theory; it simply executes the old theory at machine speed. Assets still increase on the debit side. Expenses are still debited. This is important for your exam: many students believe moving to software means moving away from traditional bookkeeping. It does not.

A computerised system performs five core functions that a manual system struggles to scale. First, transaction recording — you fill a screen form (invoice, payment voucher, journal entry) and the software applies debit-credit rules automatically. Second, ledger maintenance — every account is updated in real time, so you always see the current balance of Creditors or Bank without flipping through pages. Third, report generation — a Trial Balance, Profit and Loss Account, or Balance Sheet can be produced in seconds. Fourth, security and audit trail — the software logs who entered each transaction and when, which protects the business during an Income Tax audit or statutory audit under the Companies Act, 2013. Fifth, integration — the accounts link to inventory (a sale reduces stock automatically) and to banking (a cheque clearance updates the bank account). For a Plus Two exam, remember these five functions by name.

India made computerised accounting essential in two big steps. In 2017, GST replaced a patchwork of state and central taxes with one unified tax system. Every registered business must now file GSTR-1 (outward supplies), GSTR-3B (summary return), and claim Input Tax Credit (ITC) by matching purchase invoices against supplier filings. Doing this manually for even 200 invoices a month is error-prone and time-consuming. Software like Tally, Busy, or Zoho Books auto-calculates output tax, input tax, and the net payable, and generates a ready-to-upload return. In 2020, the Central Government mandated e-invoicing for large businesses: every invoice must be uploaded to the GSTN portal (run by GSTN — the Goods and Services Tax Network, the organisation that operates the GST technology infrastructure) and receive an IRN (Invoice Reference Number) before it is issued. Only computerised systems can handle this workflow. Small businesses that still use handwritten books must export data to software just to comply.

One phrase you must remember from this chapter is garbage in, garbage out (GIGO). Software is a faithful executor — it processes exactly what you feed it. If a purchase invoice for ₹6,000 is accidentally typed as ₹60,000, the software will debit Purchases ₹60,000 and credit Creditors ₹60,000. The trial balance will balance perfectly. The accounts look clean. But Purchases is overstated by ₹54,000 and the net profit is understated by ₹54,000. No alarm goes off. This is why the accountant's role does not disappear — it changes. The accountant shifts from mechanical posting clerk to quality-control professional: verifying source documents, reconciling ledger balances to bank statements and supplier invoices, reviewing audit logs, and ensuring GST filings match actual transactions. Software automates the routine; judgment remains human.

An Indian example

Anitha runs a stationery wholesale business in Thrissur with about 80 customers across Palakkad and Ernakulam. In 2016 she recorded everything by hand: a cash book, a sales day book, and individual accounts for each customer. Reconciling who owed her money at month-end took her three full days. When GST arrived in July 2017, she had to file returns every month. Her accountant estimated it would take 15 hours per month to compile invoice data manually and file on the portal — nearly two working days. She installed Tally Prime. Common misconceptions to watch for

  • Wrong belief: 'If the trial balance balances, the accounts must be correct.' Correction: a balanced trial balance only proves that debits equal credits — it says nothing about whether amounts were entered correctly. If you type ₹80,000 instead of ₹8,000, the software records the wrong debit and the wrong credit in equal measure, so the trial balance still balances while Purchases is overstated by ₹72,000.
  • Wrong belief: 'Computerised accounting replaces the need for accountants — the software does everything.' Correction: software automates posting and arithmetic, but it cannot verify that the invoice data entered matches the actual paper invoice, cannot detect fraud hidden in correct-looking entries, and cannot exercise professional judgment on how to classify unusual transactions. The accountant's role shifts from data entry to verification, control, and compliance.
  • Wrong belief: 'Using accounting software means the double-entry system no longer applies.' Correction: every modern accounting package — Tally, Busy, Zoho Books, SAP — is built on double-entry principles. The software decides which account to debit and credit based on the same rules you learned in Plus One. Switching to software does not change the rules; it just enforces them automatically.
